Elem PEIMS Clerk/Campus Secretary...



Reports to: Principal

Grade Level: Elementary (1-5)

Primary Purpose: 
Responsible for maintaining student academic records at the campus level.  Under close supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades. Process student enrollment, transfers, and withdrawals for the campus. Ensure efficient operation of school administrative office and provide clerical services for school’s administrative staff.

Qualifications: 
Education: High School Diploma

Special Knowledge/Skills: 
Ability to maintain accurate and auditable records. 
Ability to use software to develop spreadsheets and databases, and do word processing. 
Proficient in keyboarding, 10-key numerical data entry, and file maintenance. 
Ability to meet established deadlines
Strong organizational, communication, and interpersonal skillsKnowledge of basic accounting principles Ability to follow verbal and written instructions Ability to perform a variety of tasks often changing assignment on short notice

Major Responsibilities and Duties: 
Collect and enter attendance and PEIMS data into established database and verify accuracy according to prescribed procedures. 
Maintain student records and process requests for student information.
Process new student records, and records from other schools. 
Assist parents, students, and faculty with questions regarding student attendance. 
Contact parents/guardians to verify student absences as needed and report attendance problems to designated administrator. 
Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures. 
Maintain student academic records.  
Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements. Prepare instructional materials and as requested.
Assist with planning, preparation, and setup of faculty meetings and campus activities.
Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity check register(s) and ledger(s).
Assist students, teachers, and parents as needed.
Schedule meetings and appointments and maintain calendar for principal.
